Information we collect
Every Child Achieves collects information that families, regional center partners, and prospective employees choose to provide, such as name, contact details, and information submitted through applications or referrals. We also collect limited technical information when you visit this website, such as pages viewed and general device information, in order to improve the experience.
Website contact form submissions
This website offers three ways to reach us: a clinical employment application, a form for families assigned to Every Child Achieves as their service provider, and a general inquiry form. Depending on the form, you may be asked for your name, email address, phone number, role, regional center and service coordinator's name, the subject of your message, and — for clinical applicants — discipline, license status, experience, availability, and a resume.
How submissions are stored. When you submit a form, the information travels over an encrypted connection and is stored in a secure, access-controlled database hosted in the United States. Resumes are stored separately in private file storage that is not publicly accessible — files can only be opened by authorized members of our team, and each upload is recorded against your application.
How submissions are used. We use your submission only for the purpose you sent it: to follow up on your inquiry by email, to communicate with families we serve and their regional center service coordinators, or to evaluate a candidate for a clinical role. We do not use form submissions for marketing lists, and we do not add you to any mailing list.
Who submissions are shared with. Submissions are visible only to the Every Child Achieves team members responsible for responding — our intake team for inquiries and family messages, and our hiring team for applications. We never sell or rent your information. We share a submission with someone outside our team only if you ask us to, if it is needed to coordinate a child's services with an authorized regional center, or if the law requires it.
How long submissions are kept. Inquiries are kept only as long as needed to respond and maintain a reasonable record of the conversation, and are then deleted. Application materials are kept for the duration of the hiring process and a limited period afterward, unless you ask us to delete them sooner. You may request a copy, correction, or deletion of your submission at any time through our contact form or by mail.
Protected health information (HIPAA)
Protected health information relating to a child receiving early intervention services is maintained in accordance with the Health Insurance Portability and Accountability Act (HIPAA) and applicable California regulations. This information is shared only with the child's authorized regional center, the clinicians directly involved in the child's care, and the child's parents or legal guardians, except where disclosure is required by law.
How we use information
Information is used to coordinate and deliver services, to communicate with families and regional center service coordinators, to meet documentation and reporting obligations, and to evaluate and improve our clinical programs. We do not sell personal information.
Data security
Clinical documentation is maintained in a secure electronic medical record system with restricted, role-based access. Our employees receive training on privacy and security practices and are bound by confidentiality obligations.
Your rights
Parents and legal guardians may request access to their child's records, request corrections, and receive an accounting of certain disclosures. Requests can be made in writing to our mailing address below.
California privacy rights (CCPA/CPRA)
California residents have the right to know what personal information we collect and why, to request a copy of it, to request deletion or correction, and to be free from discrimination for exercising these rights. Every Child Achieves does not sell or share personal information for cross-context behavioral advertising, and we do not use sensitive personal information for any purpose other than delivering and documenting services. To exercise a right, send us a written request and we will verify your identity before responding, generally within 45 days. An authorized agent may submit a request on your behalf with written permission. Medical records held by a covered health care provider are governed by HIPAA and California medical records law rather than the CCPA.
Do Not Sell or Share My Personal Information
Every Child Achieves does not sell your personal information and does not share it for cross-context behavioral advertising, now or in the past twelve months. Because we do not engage in these activities, there is nothing for you to opt out of. If that ever changes, we will update this policy and provide a clear opt-out before doing so. You may still submit a request about your information using our contact form.
Children's privacy
The children we serve are under three years of age. This website is intended for parents, guardians, partner agencies, and prospective clinicians — not for children — and we do not knowingly collect information directly from children online. Information about a child is provided by a parent, guardian, or the child's regional center and is handled under HIPAA and California early intervention confidentiality rules.
Cookies and website analytics
We use essential cookies to keep this website working and, with your consent, limited analytics to understand how the site is used. We do not run advertising trackers. You can accept or decline optional cookies when you first visit, and change your choice at any time from the link in our footer. Full detail is in our Cookie Policy. We honor browser Do Not Track and Global Privacy Control signals.
Service providers and disclosures
We use a small number of vetted vendors — for example, our electronic medical record system, secure website hosting, and form processing — that are contractually required to protect information and use it only to provide services to us. Where HIPAA applies, these vendors sign business associate agreements. We may also disclose information when required by law or to protect the safety of a child.
Employment applications
Resumes and application details submitted through this website are stored securely, used only to evaluate candidates for clinical roles, and shared only with the team members involved in hiring.
Data retention
Clinical records are retained for the period required by California regulation and our regional center agreements. Website inquiries and applications are retained only as long as needed for the purpose they were submitted, and then deleted.
Changes to this policy
We review this policy regularly and will post any update on this page with a new effective date.
